5 Time Management Tips for Busy Moms

Being a mom is a full-time job in itself, and when you add in work, household chores, cats, personal commitments and sourdough, it can feel overwhelming. Time management becomes essential for busy moms who want to balance their responsibilities without sacrificing their well-being. Here are five practical tips to help you manage your time effectively and reclaim your day!



  1. Make a List


One of the most effective ways to manage your time is to prioritize your tasks. Start each day by identifying the most important tasks that need to be accomplished.


I prefer to keep this part simple and to the point. I make a “Top 3” or even sometimes a “Top 5” (if I’m feeling especially heroic) list each day. Three things are manageable and don’t clutter the brain like a super long list does. Clearly there are more than three things you need to accomplish today, I get it. But you know how to eat an elephant, right? Yep, one bite at a time. 


Now, if your brain requires more detail and structure, a time-honored method like the Eisenhower Matrix might be a good way to go. This method divides tasks into four categories:


  • Urgent and Important: Do these tasks first.

  • Important but Not Urgent: Schedule these for later.

  • Urgent but Not Important: Delegate if possible.

  • Neither Urgent nor Important: Consider eliminating these tasks.


I like using this matrix for the big list of all the things I need to get done for the week or month or any period time that I have defined. It helps keep the big picture in focus and I can easily grab things off this to craft my daily “Top 3”.


By focusing on what truly matters, you can reduce stress and increase productivity.



  1. Make a Daily Schedule


Having a daily schedule can help you stay focused and ensure that you allocate time for your Top 3 PLUS your usual daily responsibilities. Use a planner, digital calendar, chalk board or a dry erase board to stay on track.


When making your schedule, consider using time blocking. Time blocking is a technique that involves dedicating specific chunks of time to different tasks or activities. This method can help you organize your day and establish routines.


For example, you could block your time as follows:


  • 9 AM to 11 AM for work tasks

  • 11 AM to 12 PM for household chores

  • 12 PM to 1 PM for lunch and family time

  • 1 PM to 2 PM for personal care

  • 2 PM to 4 PM for running errands

  • 5 PM to 6 PM for dinner prep


I will caution you to be realistic about how much you can accomplish in a day. It’s better to under-schedule and have extra time than to overcommit and feel overwhelmed.


As a busy mom, it’s essential to set boundaries to protect your time. This might mean saying no to certain commitments or limiting distractions. Communicate your availability to friends, family, and colleagues, so they understand when you are and aren’t available.


For example, if you need uninterrupted time to work or focus on a project, let your family know that you will be unavailable during those hours. Setting clear boundaries helps everyone respect your time!


Distractions can significantly hinder your productivity. Identify what commonly distracts you and take steps to minimize these interruptions. This could include:


  • Turning off notifications on your phone

  • Creating a dedicated workspace

  • Setting specific times to check emails or social media


By limiting distractions, you can maintain focus and accomplish tasks more efficiently.


Pro tip:  DELEGATE. No, you don’t have to do everything yourself.


Delegating responsibilities can free up your time and reduce stress. Involve your family in household chores, or consider hiring help for tasks like cleaning or grocery shopping.


For example, assign age-appropriate chores to your children, such as setting the table or folding laundry. This not only lightens your load but also teaches them valuable life skills. There will still be plenty of time for them to touch some grass.



  1. Make Use of Technology


There are numerous apps and tools designed to help busy moms manage their time better. Consider using:


  • Task management apps like Todoist or Trello to keep track of your to-do list.

  • Calendar apps like Google Calendar to schedule appointments and reminders.

  • Meal planning apps to streamline grocery shopping and meal prep.


These tools can help you stay organized and save time in your daily routine.


Pro tip: I use the reminder app on my iPhone for most of the things I need to keep track of. I also use Google Calendar for my daily time-blocking schedule and set several alarms throughout the day. Oh, and I set timers because I seem to be incapable of monitoring the passage of time. Ok, I’ll be real, I also use the walls to write everything on so it’s literally in front of my face at every turn. But, you do you!



  1. Practice Self-Care


Amidst the chaos of daily life, it’s crucial to carve out time for self-care. Taking care of yourself enables you to be more present and effective in your roles as a mom and professional. Schedule regular breaks, exercise, and time for hobbies that rejuvenate you.


For instance, set aside 30 minutes each day for a walk or reading. This small investment in yourself can lead to increased energy and focus.


And you don’t have to stop there! Enjoy the little moments. Read a book, sit in the hot tub (yeah, like in the middle of the day), do your nails, play Candy Crush. You can’t be a boss and take care of everyone else if you’re falling apart.


Pro tip: TAKE A NAP. Or, as I call it, "finish sleeping". If you wake up knowing for a fact you did not get enough sleep, make time to catch up on the lost z's. Your brain, body, and family will thank you.



  1. Stay Flexible


Life as a mom can be unpredictable, and sometimes plans change. It’s essential to stay flexible and adapt your schedule as needed. If something urgent comes up, be willing to rearrange your priorities and adjust your time blocks accordingly. I leave plenty of cushion around my time blocks so that I don’t have every second of the day scheduled out.


By maintaining a flexible mindset, you can navigate unexpected challenges without feeling overwhelmed. At the end of each week, take some time to review what worked and what didn’t. Reflect on your accomplishments and identify areas for improvement. Adjust your strategies as needed to ensure you’re continually optimizing your time management.


For example, if you find that certain tasks consistently take longer than expected, consider adjusting your schedule to allow for more time or finding ways to streamline those tasks.
